Lead follow-up time block planner
A follow-up block is the same time every day, phone on focus, working down one list. Use the planner below to size it, then follow the method underneath.
The method
- Make the list the evening before. New leads, people due a check-in, past clients with a home anniversary, open-house sign-ins.
- Put the hottest five at the top. Call them first while you have the most energy.
- Write one line per person: name, where they came from, how you reached out, and the next step with a date.
- Tick and move on. No answer? Leave a short message, note the next try, next name.
- Copy anything important to your CRM at the end of the block, not during it.
Simple follow-up rhythm
| Who | How often |
|---|---|
| New lead | Same day, then a couple of days later, then weekly while they're active |
| Open-house visitor | Thank-you the next day, then a check-in the following week |
| Active buyer or seller | A set day each week, even if it's just "no news yet" |
| Past client | A few times a year, plus their home anniversary |
Check your local rules and your brokerage's policies on calling, texting and do-not-call lists before you reach out.
